Role Overview:
We are on the search for a Lettings Administrator with a strong work ethic to join our flagship office in Colchester. The ideal candidate will have a genuine passion for responsibility and organisation, demonstrating a proactive approach to managing tasks and ensuring smooth operations. The role is responsible for conducting client account transactions and ensuring tenancies are compliant with current legislation. 

Financial/ Client Account Management:
  • Overseeing rent collection and ensuring timely payments from tenants.
  • Managing operating expenses related to properties, including maintenance and repairs.
  • Maintaining accurate records of all transactions related to landlord and tenant accounts.
  • Sending monthly statements to landlords, detailing income and expenses.
Reconciliation:
  • Regularly reconciling client accounts to ensure accuracy in financial reporting.
  • Investigating and resolving discrepancies in financial records.
Documentation/ Compliance:
  • Prepare and manage tenancy agreements, ensuring all legal requirements are met.
  • Conduct background checks and reference checks for potential tenants.
  • Maintain accurate records of tenant details, contracts, and correspondence.
  • Ensure compliance with housing laws and regulations, including safety standards and records.
  • Keep up-to-date with changes in the lettings industry and relevant legislation.
Customer Service:
  • Address tenant and landlord queries, providing excellent customer service.
  • Help resolve disputes or issues that may arise between tenants and landlord.
Required Skills:
  • Organisational Skills: Ability to manage multiple tasks and properties efficiently.
  • Communication Skills: Strong verbal and written communication for effective interaction with clients and team members.
  • Attention to Detail: Ensuring accuracy in documentation and compliance.
  • IT Proficiency: Familiarity with property management software and standard office applications.
  • Problem-Solving Skills: Ability to handle conflicts or issues that may arise.
Qualifications:
  • A background in accounting, finance, or property management is essential.
Working Hours:
  • Monday - Friday 8:30-5:30pm
